What information we collect
Depending on how you contact or work with us, we may collect information such as:
- your name;
- business or organisation;
- email address;
- telephone number;
- the information you include in an enquiry;
- correspondence between you and Royal Flush;
- information needed to scope, quote for or deliver work;
- basic technical and security information generated when you use the website.
We do not ask you to provide special-category personal information through the website enquiry form.
Please do not include sensitive personal information in the enquiry box unless it is genuinely necessary.
How we use your information
We may use personal information to:
- respond to enquiries;
- understand what you or your business are trying to achieve;
- arrange calls, meetings or project discussions;
- prepare proposals, estimates or scopes of work;
- manage prospective and existing client relationships;
- deliver agreed services;
- maintain appropriate business and correspondence records;
- protect, maintain and improve the security and operation of our website;
- comply with legal and regulatory obligations;
- establish, exercise or defend legal claims where necessary.
Submitting an enquiry does not automatically add you to a marketing list.
Our lawful bases
The lawful basis depends on why we are using the information.
Where you ask us to discuss, scope or quote for work, we may process your information because it is necessary to take steps at your request before entering into a contract.
For ordinary business enquiries, relationship management, website security and appropriate business administration, we may rely on our legitimate interests in operating and developing Royal Flush, responding to people who contact us and keeping suitable business records.
We may also process information where necessary to comply with a legal obligation.
Where a particular activity requires consent, we will ask for it separately.
Website enquiry forms and Formspree
Our website enquiry forms are processed using Formspree, a third-party form-processing service.
When you submit a form, the information you enter is sent to Formspree so that it can process the submission and deliver the enquiry to Royal Flush at rf@royalflushmarketing.co.uk. Formspree may also retain submissions within its service according to the account configuration and its own terms and policies.
Formspree states that it supports GDPR compliance and uses Standard Contractual Clauses as a data processor for relevant international transfers.
You can find information about Formspree's privacy and security practices on the Formspree website.
Optional Google Analytics
With your consent, we use Google Analytics to understand page visits and how visitors contact us. Google receives technical information about your browser and device, page visits and interactions, together with cookie identifiers. We record a successful form enquiry only after Formspree confirms acceptance. We do not send your name, email address, telephone number, message or other form contents to Google Analytics.
Analytics stays off until you choose Accept analytics. You can reject it or withdraw consent using Analytics settings in the footer. Your choice is remembered for up to 180 days. Advertising features and Google Signals are disabled. Page addresses sent by our tag exclude query strings and fragments; referring addresses are reduced to their website origin.
Google may process this information outside the UK. See the Google Privacy Policy and our Cookie and Storage Notice for more information.
Google Maps
The Contact page provides written addresses and external Google Maps links. We do not embed Google Maps, so viewing the Contact page does not load Google Maps.
If you follow a Google Maps link, Google may process technical information and use cookies or other storage technologies under its own Privacy Policy.
Hosting, security and technical information
Like most websites, the site and its hosting infrastructure may process technical information needed to deliver pages, prevent abuse, diagnose faults and keep the service secure. This can include IP addresses, request information, browser or device information, timestamps and security identifiers.
We will update this notice if our hosting setup materially changes how personal information is processed.
Links to other websites
The site links to external websites and services, including LinkedIn, Instagram and Google Maps.
A normal external link does not itself give Royal Flush access to information held in your account with that service. Once you follow an external link, the other organisation's own privacy terms apply.
Who we share information with
We may share personal information with service providers where needed to operate the business or provide the website and our services. These may include:
- website hosting and security providers;
- Formspree for contact-form processing;
- email and business-communications providers;
- professional advisers where necessary;
- suppliers or specialist partners involved in agreed client work, where appropriate.
We do not sell personal information.
Where a supplier processes personal information on our behalf, we expect it to handle that information appropriately and only for the relevant purpose.
International transfers
Some technology suppliers may process information outside the UK.
Where UK data-protection law requires safeguards for an international transfer, the relevant provider or Royal Flush will rely on an appropriate legal mechanism, such as an adequacy regulation or approved contractual safeguards.
How long we keep information
We keep personal information only for as long as we reasonably need it for the purpose for which it was collected.
For enquiries, this generally means long enough to respond, manage the potential or resulting business relationship, maintain appropriate business records and deal with any related legal or regulatory requirements.
Information connected with a client relationship may need to be retained for longer where it forms part of contractual, financial, tax or legal records.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information in certain circumstances;
- ask us to restrict how information is used in certain circumstances;
- object to processing based on legitimate interests in certain circumstances;
- receive certain information in a portable form where the right applies;
- withdraw consent where we rely on consent.
These rights are not absolute and the exact right depends on the circumstances and lawful basis.
To exercise a right, email rf@royalflushmarketing.co.uk.
Complaints
If you have concerns about how Royal Flush uses your information, please contact us first so we can try to resolve them.
You also have the right to complain to the Information Commissioner's Office, the UK's data-protection regulator.
Information about making a complaint is available at ico.org.uk.
